If you have the Access database

on Microsoft Office 97 running on Windows 95 or Windows 97

 

 

Your settlements will be ready early each Thursday morning, with the exception of holidays.

 

STEP ONE: Find and save your settlement data

 

  1. Go into your e-mail.
  2. Find this file: \OSDATA.TXT Data created on xx-xx-xxxx
    It will have several attachments that will contain your actual data.
  3. These directions are about the attachment called osdata.txt
  4. The other attachments are files you may want to simply
  5. read on your screen. For example, your settlements
  6. are in prtset.txt This looks just like your printed settlements.
  7. Save osdata.txt to your local hard drive.
  8. Save it with a file name ending in .txt
  9. Give it a name saying what date it is for.
  10. For example: aug1597.txt for the settlement of August 15, 1997.

Now you can go into the Access database to see your settlement.

 

STEP TWO: Getting to Access

 

    1. Open up the Access database.
    2. Click on File
      A window will appear.
    3. Click on Open Database
    4. Type this into the window: c:\prime\reports.mdb and press Enter
      A Select window and another window will appear.
    5. Click on Import Data from Excel
      An Import window will appear.

 

STEP THREE: Moving your settlement data into Access

 

    1. In the File Name box, type in the file name you used in STEP ONE to save your settlement data. Then press Enter
      The Import Text Wizard window will appear.
    2. Click on the Advanced button.
      The Osdata Import Specifications window will appear.
    3. Click on the Specs button.
      The Import/Export Specifications window will appear.
    4. Click on TEXTSTRUCTURE2 then click on the Open button.

      The TEXTSTRUCTURE2 window will appear.

    5. Click on OK
      The Import Text Wizard window will appear.
    6. Click twice on the Next button.
      An option will appear saying I would like to store my data
    7. Click on In an Existing Table
    8. Click on the down arrow to the right of In an Existing Table
      A box will drop down.
    9. Click on 1995
    10. Click on the Next button.
      A window will appear saying Import to table: 1995
    11. Click on Finish
      Shortly, a window will appear stating that the file import is done.
    12. Click on OK

 

 

STEP FOUR: Formatting your data

 

    1. Click on the Run Updates button in the Select window.
      A message will appear.
    2. Click on Yes
      Another message will appear.
    3. Click on Yes
      A third message will appear.
    4. Click on Yes
      A fourth message will appear.
    5. Click on Yes
      Now you are done with formatting your data.

 

STEP FIVE: Viewing your data

 

    1. Click on the Reports button in the Select window.
      The Select Report window will appear.
    2. Click on the name of the report you want to view.
      An Enter Parameter Value window will appear.
    3. Enter the beginning date of the report you want to see.
      For example, for the date of July 31, 1997, enter 7/31/97
      You must put slashes in the date.
    4. Click on OK
    5. Enter the ending date in the same format shown above.
    6. Click on OK
      The report you selected will appear.
    7. When you are finished viewing a report, press CTRL and F4

 

GETTING YOUR SETTLEMENTS ON E-MAIL

Now you can go into the Access database to see your settlement.

 

STEP TWO: Getting to Access

 

    1. Open up the Access database.
    2. Click on File
      A window will appear.
    3. Click on Open Database
    4. Type this into the window: c:\prime\reports.mdb and press Enter
      A Select window and another window will appear.
    5. Click on Import Data from Excel
      An Import window will appear.

    1. Select Text (Fixed Width) in the Import window.
    2. Click on OK
      A Select File window will appear.
    3. In the File Name box, type in the file name you used to save your attachment in STEP ONE, above. Press Enter
      The Import Text Options window will appear.
    4. Click on Append Existing Table
      The Table Name should be 1995 in the window.
      The Specification Name should be TEXTSTRUCTURE2
    5. Click on OK
      A Microsoft Access window will appear, stating the import is complete.
    6. Click on OK
      The Select File window will appear.
    7. Click on Close

 

 

STEP FOUR: Formatting your data

 

    1. Click on the Run Updates button in the Select window.
      A message will appear.
    2. Click on Yes
      Another message will appear.
    3. Click on Yes
      A third message will appear.
    4. Click on Yes

LOADING THE ACCESS DATABASE

if you do not have the Access database

 

You will need to install a version of the Access database on disks Prime will give you.

 

STEP ONE: Installing the Access database on your computer

 

    1. Get into Windows.
    2. Insert Disk 1 into your "A" drive.
    3. If you have Windows 3.11:
      Go into Program Manager, and click on File
      If you have Windows 95 or Windows 97:
      Click on Start
    4. Click on Run
    5. In the Command Line box that will appear, type a:\setup and press Enter
      The Prime Settlement Setup window will appear.
    6. Click on OK
      Another Prime Settlement Setup window will appear.
      The default in the Directory window will be c:\prime
    7. Click on OK
      A third Prime Settlement Setup window will appear.
    8. Click on the Large Button in the window.
      A fourth Prime Settlement Setup window will appear.
    9. Click on Continue
      Now the computer will start installing data from the disk.
    10. Click on OK on each window that appears.
      Insert disks 2 and onward when prompted to, during the installation.
    11. Click on OK when the installation is complete.

 

To use the Access database to read your settlements, follow the directions included here for the version of Windows you have.
